The majority of Havens are bound solely by our standard Terms and Conditions as listed below. If a Haven has specific additional Terms and Conditions, these will be advised at the time of a confirmed booking or quote.
CONFIRMATION OF BOOKINGS - We will reply to the electronic mail address you have supplied to confirm if the chosen haven is available for the dates you have requested. A booking is not confirmed unless Tropical Havens has sent written confirmation
MINIMUM STAY - Minimum stay of 5 nights is required at most of our Havens.
CHILDREN POLICY - Children under 3 – free in existing bedding. Children 4 and over are counted as person in the room.
RELOCATION - The majority of properties are strata titled. This means that each property/house/room type within the complex is owned by a different person. If for any reason the property/house/room type becomes unavailable even though the customer has a confirmed booking Tropical Havens may need to relocate to a different property/house/room type. Tropical Havens will not be held liable for any change, additional charges may be required for a relocation.
CHECK-IN/CHECK-OUT - The Haven is available from 2:00pm on the day of arrival and is to be vacated by 10:00am on the day of departure. Whilst every effort will be made to accommodate early arrivals and late departures, the only way to absolutely ensure early check-in or late check-out is to book an extra day.
TELEPHONE CHARGES - Local calls are complimentary. Calls made to Cairns from Port Douglas and surrounding areas are billed by Telstra as an STD charge.
STD calls will be charged to your credit card and you will be notified when billing is received from Telstra. A copy of charges can be requested. A flat fee of 2% is charged however, we suggest using a phone card or mobile for your convenience.
GENERAL - A complimentary mid stay cleaning service for 8 night or more is included with most of our homes. At the time of booking we will advise if the home includes a free mid stay clean. Additional services are available on request and will incur a service charge.
Port a cots and highchairs are available for rental at an additional cost. Please contact our office to arrange prior to arrival.
KEYS - Loss of keys and remotes will be charged to the Guests at the discretion of Tropical Havens. A replacement charge of $50 for keys and $150 for remotes will be charged.
NOISE - Excessive noise is prohibited and may result in eviction without refund.
GUEST PROPERTY - All personal belongings, baggage, vehicles and other property of the Guest of any description shall be the risk of the Guest at all times and neither the Booking Agent nor the owner accepts any responsibility for any loss or damage thereto.
MAINTENANCE - For reasons of safety we reserve the right to enter the property to repair any fault.
INTERNET - Please note; not all Havens have internet available. Please check with our office prior to booking. Excessive downloading will incur additional charges.
ADDITIONAL CHARGES - The Guest gives Tropical Havens and/or the Agent (with the consent of Tropical Havens) authority to debit his/her credit card for any monies owing for his/her booking, in accordance with these Terms and Conditions.
CHANGES TO ACCOMMODATION - Please choose your haven carefully as no refund or change of haven will be possible once your booking is confirmed. Outside of 90 days amendments will be charged a $50 fee.
The guest agrees that the accommodation is booked only for the number of people actually stated on the Booking confirmation. Any additional people will be charged for at the applicable nightly rate. The guest gives Tropical Havens the authority to charge the customers credit card for any additional guests. If a Guest arrives at the property and is not satisfied with the accommodation chosen, the Guest will remain liable for the full balance owed, unless it can be shown beyond doubt that the Guest did not get what was detailed on the Confirmation Form or what was depicted on any relevant Publication, taking in to account the terms and conditions as follows:-

Because of this, the furnishings in each property can vary. On our websites we have displayed photos of typical properties. These are neither the best properties, nor the worst. The photos are used as a guide only, and Tropical Havens cannot be held responsible if a particular property does not resemble photos on any Publication
LIABILITIES - No responsibility is taken for personal items left on the premises during or after departure. Tropical Havens does not accept liability for any injury, damage, loss and additional expenses caused directly or indirectly by events, which are beyond our control. We do not accept liability for error omissions, default or negligence represented on our website.
Tropical Havens does not accept liability for changes due to renovations, alteration and refurbishing of individual Havens. We endeavour to keep our web site updated at all times. Please choose your Haven carefully as no refund or change of Haven will be possible once your booking is confirmed.

VALIDITY - Tariffs are valid for the dates shown in the Tariffs section and are subject to change without notice. Quoted prices will be held firm only upon receipt of the relevant deposit and final payment. Please note all rates and specials quoted are indicative only. All quotations and reservations are subject to our Terms and Conditions as published. We reserve the right to refuse any reservation request at our sole discretion.
All rates include accommodation only unless otherwise stated. Bookings are subject to availability.
STANDARD BOOKINGS/PAYMENTS - To secure a booking, payment of 25% non refundable deposit and valid credit card details are required to confirm your booking. If the deposit is not received within 48 hours of the tentative booking, we reserve the right to accept another deposit without further notice. By paying a deposit you have read and agreed to our terms and conditions.
The balance of payment is due prior to 30 days of arrival date and is non-refundable. If the balance is not received within 48 hrs of due date, your booking will be cancelled.
A merchant fee is charged for all credit card transactions. All monies are held in a fully audited Trust Account.
A 2.5% merchant fee is charged for VISA and MASTERCARD credit card transactions. Please note these fees are subject to change without notice.
If you choose to direct deposit, we still require a valid credit card number as security.

CANCELLATIONS - Once your booking has been confirmed and receipted your deposit is non-refundable. If the booking is cancelled in writing more than 90 days from the date of commencement of your arrival, you will be released from the liability for the full balance of hire. (Credit card merchant fees are non refundable.)
The Booking Agent recommends that the Guest takes out comprehensive holiday cancellation and protection insurance with a reputable insurance company to cater for any unforeseen circumstances which may arise including accident, ill health or any other matters beyond the Guest’s reasonable control, as once the booking is confirmed and receipted, the Guest will be responsible for payment of the full rental.
Changing to another haven or changing the dates cannot be done within this period. We highly recommend travel insurance to cover this possibility.
We reserve the right to cancel your booking if the balance is not received by the due date. Your deposit will be forfeited in this case.
